Privacy policy
What we collect when you use this website, why we collect it, and what you can ask us to do about it.
Draft awaiting review. This policy is a working template written to reflect how the site behaves today. It has not been reviewed by a solicitor and several details — company registration, retention periods and the suppliers we use — are still to be confirmed. It should be checked professionally before the site goes live.
Who we are
This website is operated by Registered company name to be confirmed — to be confirmed, trading as Double M Motors, an independent motor dealer serving West Sussex, Berkshire, Surrey and Hampshire.
For the purposes of UK data protection law we are the data controller for personal information you give us through this website. Our registered office is Registered office address to be confirmed — to be confirmed and our company number is NI708665.
What we collect
We only ask for what we need to answer you. That is:
- Enquiry forms: your name, and an email address or telephone number, plus whatever you choose to write in the message.
- Sell your car: the vehicle registration, mileage, condition and ownership details you supply, along with your name and contact details.
- Finance interest register: your name and email address only. This is not a credit application and no credit check is carried out.
- Technical information: basic server logs such as IP address, browser type and the pages requested, kept for security and troubleshooting.
We do not ask for financial details, identity documents or payment information through this website, and you should never send them to us by email.
Why we use it, and our lawful basis
- To reply to your enquiry — our lawful basis is your consent, given when you tick the box on the form, and our legitimate interest in running the business.
- To appraise a car you want to sell — steps taken at your request before entering into a contract.
- To keep records of a sale — legal obligation, including tax and consumer-law record keeping.
- To keep the site secure — legitimate interest.
We will not add you to a marketing list because you sent an enquiry. If we ever want to send you marketing, we will ask separately and you will be free to say no.
How long we keep it
- Enquiries that do not lead to a purchase: retention period to be confirmed — to be confirmed, after which they are deleted.
- Records relating to a vehicle sale or purchase: kept for at least six years, as required for tax and consumer-law purposes.
- Finance interest register: until the service launches and we have contacted you, or until you ask us to remove you.
Your rights
Under UK data protection law you have the right to:
- ask what personal information we hold about you, and get a copy of it;
- have inaccurate information corrected;
- ask us to delete information we no longer need;
- object to, or ask us to restrict, how we use it;
- withdraw consent at any time, where consent is our basis for using it;
- ask for your information in a portable format.
To exercise any of these, contact us using the details on our contact page. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling their helpline. We would appreciate the chance to put it right first — see our complaints procedure.
Changes to this policy
We may update this policy as the business changes — for example when a finance service launches, or when we confirm which suppliers we use. The date at the top of this page shows when it was last revised.
